Exhibitor Information

We are excited to host our exhibitors during the 2026 IPAC Conference! This page provides additional information to help our exhibitors plan for the conference; if additional information is needed, please reach out to the Sponsorship Chair (sponsor@ipacweb.org).

Exhibitor Dates and Hours

  • Set-Up: Sunday - Noon to 4:00pm - Exhibitors are encouraged to set-up during this time. Note - the President's Reception will be in the Exhibit Hall space from 6:00p to 8:00pm and exhibitors can be available during this time if desired.
  • Monday & Tuesday- 7:30am to 5:30pm - The Exhibit Hall is formally open for the conference. Note - the Tuesday Night Networking event will be held in the Exhibit Hall from 5:00pm to 6:00pm 
  • Break-down: Wednesday - by 10:00am - Exhibitors are asked to break down by 10:00am to facilitate shipping support.

The Exhibit Hall will have the heaviest traffic during morning coffee, breaks, and lunch. See the Schedule-at-a-Glance for more details.

Shipping Information

Exhibitors can ship materials directly to the hotel. Packages for the hotel will be received up to a maximum of three (3) days prior to the meeting. Charges for items received outside of this window are the responsibility of the shipper.

  • Packages must be sent pre-paid to the above address no more than three (3) business days prior to the event.
  • Boxes arriving more than three (3) business days prior to meeting dates and stored more than two (2) business days past meeting dates are subject to storage fees.
  • Items left on the premises for longer than one week after departure without shipping instructions will be discarded.
  • For any outgoing packages guest must tape the box closed and adhere an outgoing shipping label. A pickup must be called and scheduled with the shipping provider.

Installation and Removal of Exhibits

Exhibitors are responsible for the assembly and dismantling of their own exhibits. Access to the space will begin at Noon on Sunday, July 12, 2026; exhibitors are asked to remove their exhibits by 10:00am on Wednesday, July 15, 2026.

Exhibitor Hall Layout

The Exhibitor Hall is integrated into the main walkway for conference attendees - it is the direct path to our main rooms, as well as the hosting section for all food and events.

  • Exhibitors will have access to wifi and power; please connect with the Sponsorship Chair for more information.
  • The Exhibit Hall may be closed during off hours, but Exhibitors are encouraged to secure items when the conference has ended for the day (or be comfortable leaving items on the tables). IPAC is not responsible for materials left unattended. 
  • Exhibitors onsite will have first dibs at Exhibitor slots at the 2027 IPAC Conference at a discount [contact sponsor@ipacweb.org for details].
