Exhibitor Information

We are excited to host our exhibitors during the 2025 IPAC Conference! This page provides additional information to help our exhibitors plan for the conference; if additional information is needed, please reach out to the Sponsorship Chair (sponsor@ipacweb.org).

Exhibitor Dates and Hours

  • Sunday - Noon to 6:00pm - Exhibitors are encouraged to set-up. Note - in prior years, our President's Reception would be in the same space. This year, we will have our Tuesday Night Networking Event in the Exhibitor Hall.
  • Monday - 7:30am to 5:00pm
  • Tuesday - 7:30am to 6:00pm The Tuesday Night Networking event will be held in the Exhibitor Hall from 5:00pm to 6:00pm 
  • Wednesday - 7:30am to 11:00am - Exhibitors are asked to break down by 11:00am to facilitate shipping support.

The Exhibit Hall will have the heaviest traffic during morning coffee, breaks, and lunch.

Shipping Information

Exhibitors can ship materials directly to the hotel. Packages for the hotel will be received up to a maximum of four (4) days prior to the meeting. Charges for items received outside of this window are the responsibility of the shipper.

  • Packages must be sent pre-paid to the above address no more than Two (4) business days prior to the event.
  • Boxes arriving more than four (4) business days prior to meeting dates and stored more than two (2) business days past meeting dates are subject to additional storage fees.
  • Charges are due upon receipt of the package and can be paid with a credit card.
    • $10.00 per box under 20 lbs.
    • $25.00 per box between 21-50 lbs.
    • $75.00 per box 51 lbs and over and $150.00 per pallet.
  • For any outgoing packages guest must tape the box closed and adhere an outgoing shipping label. A pickup must be called and scheduled with the shipping provider.
  • There is no on-site business center. There is complimentary printing available in the lobby by the front office.

Installation and Removal of Exhibits

Exhibitors are responsible for the assembly and dismantling of their own exhibits. Access to the space will begin at Noon on Sunday, July 27, 2025; exhibitors are asked to remove their exhibits by 11:00am on Wednesday, July 30, 2025.

Other Items

  • IPAC will provide a dedicated onsite support contact to assist you as needed.
  • Exhibitors will have access to wifi and power.
  • The Exhibitor Hall may be closed during off hours, but Exhibitors are encouraged to secure items when the conference has ended for the day (or be comfortable leaving items on the tables). IPAC is not responsible for materials left unattended. 
  • Exhibitors onsite will have first dibs at Exhibitor slots at the 2026 IPAC Conference at a discount [contact sponsor@ipacweb.org for details].
